Job Summary
As a Legal Administrative and secretary, you will play a crucial role in supporting the legal team and ensuring the smooth operation of legal processes within the organization. You will be responsible for providing administrative and secretarial assistance to the team, Clients and Vendors. Your role will encompass a range of tasks, from document management and client communication to scheduling appointments and maintaining legal records.
Qualifications
• Female with minimum of Bachelor's degree in Law, Management, or Secretary (Fresh Graduates are welcome)
• Proven experience as a legal secretary or administrative assistant in a legal setting.
• Strong knowledge of legal terminology, processes, and documentation.
• Proficiency in using legal software and Microsoft Office Suite.
• Exceptional organizational and time management skills.
• Excellent communication and interpersonal abilities.
• Attention to detail and strong proofreading skills.
• Ability to maintain strict confidentiality and handle sensitive information.
Responsibilities:
• Document Management: Draft, edit, format, and proofread legal documents, including contracts, briefs, and correspondence. Ensure documents are properly organized, filed, and archived.
• Calendar and Schedule Management: Maintain legal professionals' calendars, and schedule appointments, and meetings. Remind the lawyer team of upcoming deadlines and commitments.
• Client Communication: Interact with clients, both in person and over the phone, to provide updates, gather information, and relay messages on behalf of the Lawyer team.
• Records Maintenance: Create and maintain physical and electronic legal files and records. Ensure confidentiality and compliance with data protection regulations.
• Billing and Expense Management: Assist in managing legal billing and expenses, including tracking billable hours, preparing invoices, and processing expenses.
• Office Organization: Maintain an organized and efficient office environment, including ordering supplies, managing mail, and keeping office equipment in working order.
• Legal Assistance: Provide general administrative support to Lawyer team, such as photocopying, scanning, and assisting with legal research.
